Role Overview
 
Advantage Capital is seeking an Executive Assistant based in the New York city office who will work directly with our Managing Director, and will support the New York office employees, as well as other external partners. The Executive Assistant role maintains overall office operations and procedures and manages many day-to-day functions of the company. Other duties include: 
 
·         Manage information flow in a timely and accurate manner 
·         Manage leadership’s calendars and scheduling 
·         Make travel and accommodation arrangements 
·         Track departmental expenses and prepare weekly, monthly, or quarterly expense reports 
·         Act as an office manager by overseeing office supply inventory 
·         Prepare internal and external communications, to include memos, emails, presentations, and reports 
·         Scribe during meetings to capture decisions and action items
·         Triage incoming phone calls and requests
·         Organize and maintain the office filing system 
 
Qualifications
 
Required Skills 
·         Bachelor’s degree in related field 
·         3 years’ work experience as an Executive Assistant, Personal Assistant, or similar role 
·         Proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word)
·         Outstanding organizational and time management skills 
·         Familiarity with office equipment and applications (e.g., e-calendars and copy machines) 
·         Excellent verbal and written communications skills 
·         Discretion and confidentiality are a must
 
Preferred Skills 
·         Intermediate Proficiency with Visio and Adobe Acrobat 
·         Experience with travel booking and arrangements 
·         Basic IT knowledge
